The Personal Assistant is responsible for providing a comprehensive, confidential and professional support service in all aspects concerned with the efficient and successful operation of the Distribution Division

* To provide a full secretarial and administrative support service to the Distribution Director and Operations Manager, ensuring confidentiality at all times
* Provide support for an extensive range of meetings. This will include preparing agendas, producing accurate meeting minutes, noting action points and following them up
* Produce reports and statistical analysis for both regular and ad hoc requirements
* Maintain the diary and arrange appointments as necessary
* Maintain a good working knowledge of the Distribution operation to ensure effective and efficient support provision and workload management of Distribution Director and Operations Manager
* Receive visitors to the office, and make necessary arrangements for such visits
* Open and manage correspondence for Distribution Director and Operations Manager as instructed
* Make all travel arrangements and arrange reimbursement of expenses for the Distribution Director and Operations Manager
* Undertake projects and research as required by the Distribution Director and Operations Manager
* Manage business correspondence of a highly confidential and sensitive nature including reports, major projects, etc.
* Draft routine correspondence for approval and signature by either the Distribution Director or Operations Manager
* Review support processes and identify opportunities for implementing new systems or improving existing ones, where appropriate
* Acting as a key liaison point between the senior managers and other key parties, setting up meetings as appropriate and maintaining good communications

* Excellent communication skills, able to communicate confidently and effectively at all levels
* Highly efficient minute-taker
* Highly literate and numerate
* Excellent presentation and organisation skills
* Good interpersonal skills, highly assertive manner
* Excellent demonstrable knowledge of Microsoft Office suite (including Word, Excel, Outlook and Powerpoint)
* Discreet manner, and is able to deal with confidential and sensitive information

* Demonstrable previous experience as a PA at Senior Manager level

* A good understanding of administrative processes and systems
* Industrial background would be an advantage
